Hotel check-in process flowchart template

A hotel check-in flowchart shows every step between a guest arriving and reaching their room. This example runs across four lanes, the guest, front desk, property management system and housekeeping, and handles the common case where the room is not ready yet, from storing luggage to a priority clean and a text when the room is free.

How to use this template

  1. Walk a real check-in

Stand at the desk during a busy arrival time and write down each step. Replace the example steps with what your team actually does.

  2. Handle the exceptions

Add branches for the problems you see most: rooms not ready, payment declined or a booking that cannot be found. Each should end with the guest knowing what happens next.

  3. Time it

Time a few check-ins and add a target. Look for steps that could happen before arrival, such as ID or payment, and move them to the pre-arrival email.
